1. Who we are and what this notice covers
Fuelo Nutrition Limited ("Fuelo", "we", "us") is a company registered in Ireland (company number 783340), with its registered office at Ballyburn, Newtown, Kilmore Quay, Co. Wexford, Ireland. Our dietetic services are provided by Paraic Reville, a CORU-registered dietitian (registration number DI068455).
Fuelo Nutrition Limited is the "data controller" for the personal information described in this notice. That means we decide how and why your information is used, and we are responsible for looking after it.
This notice explains what information we collect, why we use it, who we share it with, how long we keep it, and your rights. It applies to:
People who book or take part in our one-to-one dietetic services
People who contact us, book a discovery call, or sign up for our email list
People referred to us by their GP or another health professional
Visitors to paraicdietitian.com
We have not appointed a Data Protection Officer. For any privacy question, contact us at fuelo@paraicdietitian.com.
We have written this notice in plain English. If anything is unclear, please ask us.
2. What information we collect
Identity and contact details: name, date of birth, phone, email, GP name and practice, and your location during calls. This comes from you, through our forms and bookings.
Health information (special category data): diagnosis, medicines, blood test results, blood pressure, weight, height, symptoms, conditions, family history, and results of short screening questions about eating and mood. This comes from you, from your GP (only with your consent), and from what you tell us on calls.
Food and lifestyle information: food diaries, eating habits, activity, sleep, stress, alcohol, work pattern, goals and reasons for making changes. This comes from you.
Call information: video call recordings, transcripts, and the clinical notes and plans we write from them. These are created during our work together.
Progress information: check-in form answers, habit tracking, and messages sent through our client portal. This comes from you.
Referral information: if your GP or another health professional refers you, we receive your name, contact details, and whether you have pre-diabetes or type 2 diabetes. We also keep the referrer's name, practice and professional registration number. This comes from the referrer, who confirms that you agreed to your details being shared with us.
Payment information: payment amounts and dates, and payment status. Card details are handled by our payment provider, and we do not see or store your full card number. This comes from you and our payment provider.
Website and marketing information: cookies, website analytics, and your email address if you join our email list. This comes from your device and from you.
Some of this is "special category" personal data under GDPR, because it is information about your health. We take extra care with it and only use it for the reasons set out below.
Please only give us information you are comfortable sharing. If you do not give us health information we ask for, we may not be able to provide the service safely.
3. Why we use your information, and our legal basis
The law requires us to have a "legal basis" for using your personal information. For health information we also need an extra condition. These are set out below.
Providing your dietetic care (assessment, calls, plans, check-ins and follow-up). Legal basis: contract (Article 6(1)(b)). Extra condition for health information: provision of health care by a professional under a duty of confidentiality (Article 9(2)(h)).

Extra condition for health information: explicit consent (Article 9(2)(a)).
Taking payments, issuing receipts and keeping accounts. Legal basis: contract and legal obligation (Article 6(1)(b) and (c)). No extra condition is needed.

Website analytics and cookies. Legal basis: consent.
Your choices
Recording, AI use and GP contact are separate choices. You can say no to any of them, and this will not affect the care you receive. Without recording, we will take notes by hand. Without GP contact, we will not send a summary.
You can withdraw consent at any time by emailing fuelo@paraicdietitian.com. Withdrawing does not affect anything done before you withdrew.
We do not sell your information, we do not use it for advertising, and we do not make decisions about you using automated processing alone.
4. Who we share your information with
We only share your information where we need to, and we only share what is necessary.
Service providers ("processors") who act on our instructions
Practice Better: client portal, bookings, forms, messaging, video calls and record keeping. Information involved: contact details, health information, notes and plans.
Stripe: taking card payments. Information involved: name, email, payment details and amounts.
Google (Google Workspace): email, calendar, secure document storage and our GP referral form. Information involved: contact details, appointment information, documents and referral details.
Squarespace: our website, contact forms and email list. Information involved: website visitor information and enquiries.
Anthropic (Claude): an AI tool used to help draft clinical notes and plans from redacted call material (see section 5). Information involved: redacted call text and form data, with names removed.
DBM Accountants: accounts and tax. Information involved: payment and invoice information only.
We have agreements with these providers that require them to protect your information and use it only for the services they provide to us.
Other people we may share information with
Your GP, only if you have given us consent, and only a short summary relevant to your care.
The person who referred you, if you were referred. We confirm that we received the referral, without any of your details. We do not tell them whether you booked unless you agree.
Your health insurer. We do not send your health information to insurers. If your policy allows you to claim back our fees, we give you a receipt or invoice that you can send yourself.
Our insurers, professional advisers and legal advisers, where needed to manage a claim or complaint.
CORU, the courts or other authorities, where the law requires it.
Emergency services, if we believe there is a serious risk to your life or safety.
Transfers outside the European Economic Area
Some of our providers (for example Practice Better, Stripe, Google, Squarespace and Anthropic) may process information in the United States or other countries outside the EEA. Where this happens, we rely on safeguards required by GDPR, such as the EU-US Data Privacy Framework or the European Commission's Standard Contractual Clauses. You can ask us for details by emailing fuelo@paraicdietitian.com.
5. Call recordings and AI tools
Recordings
With your consent, we record our video calls so that we can write accurate clinical notes and plans. Recordings are stored securely in Practice Better, are not shared with anyone else, and are deleted within 30 days of your clinical note being completed. If you prefer not to be recorded, tell us. We will take notes by hand and your care will not change.
How we use AI
We use Claude, an AI tool provided by Anthropic, to help us write your clinical notes and one-page plans from our calls. Here is how it works:
We remove your name and other identifying details (such as your address, phone number, email, date of birth, workplace and club) from the call text and any form answers before they go into the AI tool.
The AI drafts a note or plan. It does not see your name, and it does not make any decision about your care.
Paraic Reville reads, checks and corrects everything before it is saved to your record or sent to you.
We delete client text from the AI tool after your note has been filed.
Removing details cannot be perfect, because people sometimes mention unusual details during a conversation. That is why we ask for your explicit consent. You can say no, or withdraw your consent at any time, and we will write your notes and plans without AI.
We use Anthropic's service for this, and we only send redacted text.
6. How long we keep your information
We only keep information for as long as we need it. When the time is up, we delete it securely.
Clinical records (forms, notes, plans, results, GP letters and summaries): 7 years after our last contact with you.
Call recordings and raw transcripts: deleted within 30 days of your clinical note being completed.
Payment, invoice and accounting records: 6 years, as required for tax purposes.
Enquiries and discovery calls that do not become a package: 12 months.
GP referrals where the patient does not book: deleted 30 days after our last contact with the patient.
Referrer details (name, practice and registration number): kept while we continue to receive referrals from that practice, and no longer than needed afterwards.
Consent records: for as long as we keep the record they relate to.
Email newsletter list: until you unsubscribe.
Website analytics and cookies: as set out in our Cookie Policy.
We keep clinical records for 7 years because this is expected of a registered health professional. If you ask us to delete your information earlier, we will delete what we can, but we may have to keep your clinical record until the end of this period.
7. Your rights and how to complain
You have the following rights over your personal information:
Access: to ask for a copy of the information we hold about you.
Correction: to ask us to fix anything that is wrong or incomplete.
Erasure: to ask us to delete your information (we may have to keep your clinical record for the period in section 6).
Restriction: to ask us to limit how we use your information in some circumstances.
Portability: to ask for information you gave us, in a format you can reuse, where we use it on the basis of consent or a contract.
Objection: to object to us using your information on the basis of our legitimate interests.
Withdrawing consent: to withdraw your consent at any time (see section 3).
Not being subject to automated decisions: we do not make decisions about you using automated processing alone.
How to use your rights. Email fuelo@paraicdietitian.com. We may ask you to confirm who you are. We will reply within one month. There is no charge, unless a request is clearly unreasonable or repeated.
How to complain. We would like the chance to put things right, so please contact us first. You also have the right to complain to the Data Protection Commission, which is Ireland's data protection authority (dataprotection.ie).
8. Security, children, cookies, changes and contact
Keeping your information safe. We use secure, password-protected systems with two-factor authentication, we limit access to Paraic Reville, and we only use providers that apply appropriate security. If there is a data breach that puts your rights at risk, we will tell you and the Data Protection Commission as the law requires.
Children. Our services are for adults aged 18 and over. We do not knowingly collect information from anyone under 18.
Cookies and analytics. Our website uses cookies. We ask for your consent before using non-essential cookies, and you can change your choice at any time. See our Cookie Policy, which is linked in the footer of this website.
Changes to this notice. We may update this notice. The date at the top shows when it was last changed. If we make a significant change, we will tell you.
